Job Opportunity: Church Administrative Assistant Part-time
Position Overview:
The Church Administrative Assistant will support the administrative operations of our congregation. You will be responsible for various administrative tasks to ensure the smooth functioning of our church community. The role requires a high level of organization, attention to detail, and the ability to effectively communicate with different stakeholders.
Responsibilities:
- Send weekly congregation email. To be done in collaboration with the Minister, Board of Managers, and Session.
- Create and download to the requested computers, the weekly Worship PowerPoint.
- Maintain copies of master files for future use in presentations.
- Set up the YouTube livestream feed for Sunday’s worship service.
- Perform a test run of the livestream once the PowerPoint presentation is downloaded.
- Sanctuary computer maintenance, including regularly check for updates, perform maintenance tasks and empty cache to ensure smooth operation of the system.
- Arrange for computer servicing when necessary.
- Print and mail weekly email/message, including delivery for congregants who don’t have email access.
- Provide assistance with maintaining the church’s Facebook page and website as needed. Collaborate with the minister and congregants to ensure the platforms are regularly updated.
- Photocopier maintenance, including monitor paper stock, toner levels, and overall functionality of the copier.
- Prepare Annual report, ensuring to compile, publish and distribute the annual report 2-4 weeks in advance of the congregation meeting.
- Maintain address/contact list for members and adherents.
- Additional duties when minister is absent;
- Phone message management, this can be done remotely, refer messages as needed, ensuring timely responses and appropriate follow-up.
- Prepare one-page handout/bulletin
- Maintain confidentially.
- All other duties as assigned by the Minister, Board of Managers and Session.
Qualifications:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, particularly PowerPoint.
- Attention to detail and ability to maintain accuracy in tasks.
- Ability to work independently and collaborate with different stakeholders.
- Familiarity with technology platforms like YouTube and social media (Facebook).
- Previous administrative experience is preferred.
